This message is for any student who has a HPPLC letter of recommendation file and who is considering sending out letters BEFORE winter break. It is long, but it is crucial that you read the entire message!
In short, the deadline for requesting that your letters be sent is 4:00 p.m. on Tuesday, December 8.
***NOTE that BEFORE you may even request that letters be sent, your letters must already have been RECEIVED by HPPLC with all necessary forms, and all documents must be properly signed. In other words your LOR file must be complete BEFORE the deadline!
Allow time to DISCOVER ERRORS and then have them CORRECTED before December 8! This may involve sending a document back to the writer for a signature, and having them re-submit it to HPPLC. This may take several days. Give yourself plenty of time.
Note that the service does not automatically send out your letters. You must submit a signed “Request for Letters to be Sent” form, either in person or by fax. We cannot take requests by e-mail or telephone. The form is available in our office, is attached to this email, and is on the HPPLC website at http://hpplc.indiana.edu/pdf/rs/Request%20for%20Recommendations%20to%20be%20Sent.pdf.
***But note that the Request will not be valid UNLESS ALL of your letters are in your file AND are accompanied by a signed HPPLC waiver form,AT THE TIME the request is made!***
For LAW SCHOOL APPLICANTS, you will ALSO need to have Law School Admission Council LOR forms in your file—one for each letter (if you have 3 letters, you’ll need 3 LSAC forms). Instructions on how to do this are available from HPPLC. Just reply to this email if you need them.
To make sure that your recommendation packets will be sent BEFORE WINTER BREAK, REQUESTS MUST BE SUBMITTED TO THE HPPLC OFFICE BY 4:00 p.m. TUESDAY, DECEMBER 8. Each request must be signed by you:
1. You CANNOT request to send a letter that has not yet arrived in your file. WE CANNOT HOLD REQUESTS PENDING THE FUTURE RECEIPT OF LETTERS, WAIVERS, OR SIGNATURES! No exceptions! Such requests will be considered VOID and will not be processed. Thus do not simply drop off a request—it may not be honored.
2. We will attempt to send requests that do not make the deadline, but will not guarantee it. Thus it is possible that requests submitted after December 8 may not be sent until the start of next semester.
3. Please, DO NOT suddenly tell your writers that letters must be here by the 8th! That’s not fair (and might be counterproductive!) – unless you have already been waiting for several weeks. They normally expect at least 3-4 weeks notice.
4. Keep in mind that professional school admission officials take a winter break as well. Not much will happen in admissions offices in the last two weeks of December. Normal admissions processes will not resume until January 4.
5. Like many professional school admissions offices, HPPLC will be on reduced hours during the December holidays. The office will be CLOSED from December 25th through January 4th.
